Terms and Conditions for Destination Reels LTD
1. Who these terms apply to
These terms apply to all services provided by Destination Reels Ltd (“we”, “us”) to the client named on the invoice (“you”, “client”). By paying any invoice, or confirming a booking in writing, you accept these terms.
2. Scope of work
We will provide the services described on the invoice or statement of work. Anything not listed is outside scope and may be quoted separately.
3. Booking and payment
A shoot date is only confirmed once the invoice has been paid in full.
Unless agreed otherwise in writing, full payment is required upfront to secure the booking.
Editing does not commence until the shoot has taken place and all required client inputs have been received. Final delivery links are released once the invoice is paid in full. Invoices are due on receipt unless a different due date is shown on the invoice.
4. Late payment
If payment is not made when due, we may pause editing, revisions, and delivery until the outstanding balance is cleared.
5. Scheduling, access, and permissions
You are responsible for ensuring:
* Access to the property at the agreed time
* Permission to film on site
* Any approvals required from vendors, landlords, building management, concierge, or security
* Any access codes, permits, or onsite requirements
If access is delayed or restricted, this may reduce coverage or require rescheduling. Additional time or visits may be chargeable.
6. Property readiness
The property must be shoot ready on arrival. This includes cleaning, decluttering, and staging completed.
Please ensure all relevant lights are turned on and working. If the property is not shoot ready, we may proceed “as is” or reschedule. Additional time, return visits, or re shoots due to readiness issues may be chargeable.
7. Travel and parking
Travel, parking, tolls, congestion charges, ULEZ, and location fees may be recharged at cost where incurred, unless included in writing in your quote.
8. Weather, drone, and safety
Drone footage is subject to weather, safety, and legal restrictions. We do not guarantee drone flight at every location.
We may refuse or stop filming if conditions are unsafe or unlawful. Where possible, we will offer alternative shots or reschedule.
9. Delivery and turnaround
The first cut is delivered within 7 business days from the later of:
* The shoot date (unless a rush delivery deadline is agreed in writing)
* Receipt of all required client inputs (for example branding, correct spellings, key details, and music selection where the client has requested to choose music)
* Receipt of the required payment (full payment upfront)
If feedback is not received within 5 business days of the first cut being sent, the delivery timeline pauses and restarts once feedback is received.
Final delivery links and downloadable files are released once the invoice is paid in full.
Delivery is via our chosen delivery platform (for example Frame.io or similar). We will keep project files available for 90 days after delivery. Requests for re delivery after 90 days may incur an admin fee.
10. Revisions
One round of revisions is included. Revisions are limited to minor tweaks, for example:
* Small trim changes
* Small text fixes
* Minor shot swaps where suitable alternatives exist
* Minor exposure or colour adjustments
* Minor audio level adjustments
Revisions do not include:
* Full re edits or major restructuring
* New versions, formats, or deliverables not listed on the invoice
* Re shooting
* Changing the creative direction after the first cut has been delivered
* Replacing the music track after you have approved the music direction or after we have edited the video to music
Additional revisions or out of scope changes are chargeable at £150 per hour, minimum one hour, or quoted per request.
11. Music and audio
Unless otherwise agreed in writing, Destination Reels Ltd will select the music for the edit. If the client requests to choose the music, the edit timeline will not begin until the client has confirmed their selection.
We use music that is either licensed by us or made available through platform tools. Availability can change, and audio may be muted or removed by platforms without notice.
If you request a specific track, you are responsible for ensuring you have the rights to use it for your intended purposes.
12. Client responsibility and approvals
You are responsible for checking the accuracy of names, address details, and any on screen text before approving the final version.
If you approve a version and later request changes that were visible at the time of approval, those changes may be chargeable.
13. Cancellation and rescheduling
Rescheduling is subject to availability.
* Cancellations or reschedules within 48 hours of the shoot may incur a £100 fee
* No shows or access failures at the property may be treated as a late cancellation and charged accordingly
Payments are non refundable. Where appropriate, we may apply the fee as credit to a rescheduled date if sufficient notice is given.
14. Rights, usage, and third party requests
All intellectual property rights in raw footage, project files, and edits remain with Destination Reels Ltd unless agreed otherwise in writing.
Upon full payment, you are granted a non exclusive licence to use the final delivered media for marketing the property and your services.
Delivery is made to the commissioning client. Requests to upload, share, or re deliver files to third parties (including agency marketing teams, internal libraries, shared drives, or folders) are outside standard delivery and may be chargeable.
Raw footage is not supplied unless agreed in writing.
15. Portfolio use
Unless you request otherwise in writing before the shoot, you grant permission for us to use finished media and reasonable behind the scenes clips for our portfolio, website, showreels, and social media.
If the property is off market or privacy sensitive, you must tell us in advance so we can agree restrictions in writing.
16. Limitation of liability
We will perform services with reasonable care and skill.
We are not liable for indirect or consequential losses, including loss of sale, loss of profit, or delays caused by weather, access restrictions, property readiness, or late client feedback.
Our total liability is limited to the fees paid for the relevant project.
17. Subcontracting
We may use subcontractors (for example editors or second shooters) to deliver services. We remain responsible for delivery to the agreed scope.
18. Governing law
These terms are governed by the laws of England and Wales, and any disputes will be handled in the courts of England and Wales.
